EXPO Regulations

for exhibitors during the triathlon event.

1. General Provisions

  • The regulations apply to all tenants of Expo space (hereinafter referred to as “exhibitors”) during the JBL Triathlon Sieraków 2025 competition.
  • The lessor of the EXPO areas is the organizer/co-organizer/partner of the JBL Triathlon Sieraków 2025 competition: KS TRI TOUR – Klub Sportowy TRI TOUR, headquartered in Dąbrowa, ul. Bukowska 41, 62-070 Dąbrowa, registered in the register of sports clubs by the Poznań County Governor under number EKS-175, REGON: 302592538; NIP: 9721247020, correspondence address: ul. Bukowska 41, 62-070 Dąbrowa.
  • The provisions of these Regulations are an integral part of the Lease Agreement for the EXPO space during the JBL Triathlon Sieraków 2025 competition.

2. Applications

  • Applications for renting Expo space during the JBL Triathlon Sieraków 2025 competition must be submitted by sending a registration form available on the websites of the respective competitions to the email address: kontakt@tritour.com.pl.
  • An exhibitor who registers for the Expo at least 30 days before the competition will be eligible for a promotional offer. The Organizer reserves the right to close applications earlier if the exhibition space is fully booked.
  • The Organizer will confirm the acceptance or rejection of the Expo space rental request via email to the address provided by the applicant within 14 days of submission. If the application is accepted, the Organizer will send the Exhibitor a Lease Agreement for the EXPO space, which is an appendix to these Regulations, for signing.
  • Submitting the application form and signing the Lease Agreement for the EXPO space, which forms an appendix to these Regulations, is equivalent to acknowledging and accepting these Regulations.
  • The reservation of a space is finalized once the Lease Agreement for the EXPO space is signed and returned to the Organizer, and the payment for the selected space is made based on the issued proforma invoice. Failure to pay the invoice within the specified deadline will result in the agreement’s cancellation, and the space will be made available for sale again.
  • In case of withdrawal from participation, the exhibitor must submit a written resignation to the organizers at kontakt@tritour.com.pl. Depending on the timing of the withdrawal, the Organizer is entitled to a contractual penalty as follows:

    1. 60 days before the event: 50% of the signed contract value;
    2. Less than 21 days before the event: 100% of the signed contract value.
  • The Organizer reserves the right to refuse participation to an applicant without providing a reason. The refusal will be sent within 14 days to the email address provided in the registration form.

3. EXPO Date and Location

  • The EXPO will take place during the JBL Triathlon Sieraków 2025 competition on the following dates:

    1. The Sieraków competition Expo will be held from May 29 to June 1, 2025.
  • Date, location, opening hours of the Expo zone, and the applicable rules.
  • Sieraków, May 29 – June 1, 2025. TKKF Stadium, ul. Poznańska 27, 64-410 Sieraków.

    1. May 29 – 16:00-21:00
    2. May 30 – 07:00-21:00
    3. June 1 – 08:00-15:00
  • Booth setup hours:

    1. May 29, 2025, from 12:00 to 16:00
    2. May 30 – June 1, 2025, before 07:00
  • Booth dismantling hours:

    1. June 1, 2025, from 15:00

4. Rental Conditions

  1. Cost of booth rental during the JBL Triathlon Sieraków 2025 event

    SIERAKÓW
    Up to 30 days before the event 100.00 net / m²


    *Flat-rate booth fee, offer applies to the price per m² for a booth size of 3×3 m².

  2. The full price list of services is available at www.triathlonsierakow.pl – EXPO section and as specified in point 4. The price includes the cost of a 230V electrical connection (one socket per Exhibitor). VAT will be added in accordance with applicable regulations.
  3. Exhibitors in the food industry are subject to additional charges for power supply connections and waste disposal.
  4. A booth is reserved upon receipt of the signed EXPO space rental agreement along with proof of payment.
  5. Reserved booths will be continuously marked on the Expo event maps.
  6. Exhibitors are required to set up their booths on the date and time specified by the Organizer for each event, according to the agreement, and vacate the Expo at the designated time as per the agreement. Setup hours will be strictly enforced, and the Organizer has the right to deny booth setup in case of exhibitor tardiness.
  7. Exhibitors must maintain cleanliness at their booth during the Expo and, after the event, clear the booth and dispose of waste in the designated area. If waste is left behind or damages occur, the Organizer has the right to charge the Exhibitor for cleaning or repairs based on a separate invoice.
  8. The Expo area is defined on the Expo layout. All measurements are given in meters. Exhibitors must adhere to their assigned space and not exceed its boundaries. Failure to comply will result in the Organizer removing items placed outside the designated booth area or charging an additional fee of 300 PLN net per m² for the extra space used.
  9. The Exhibitor has the right to promote their booth only within its boundaries. Any advertisements placed outside the designated area or in other locations within the Expo or at the entrance will be removed, and the Organizer reserves the right to charge a fee for the additional space used.
  10. The Exhibitor is not allowed to sublease the rented exhibition space to third parties without prior written consent from the Organizer.
  11. The Exhibitor is not allowed to make any permanent modifications to the rented space (such as drilling, gluing, or affixing materials that leave marks). Exhibitors will be charged for any repair costs incurred by the Organizer.
  12. If an Exhibitor does not return the signed EXPO space rental agreement and fails to make payment for the booth within 7 days of receiving the rental agreement and invoice via email, they will be removed from the list of Expo participants, and the reserved space will be made available for sale again.
  13. Payments for EXPO space rental must be made exclusively via bank transfer to the Organizer’s account as indicated on the invoice.
  14. The Organizer reserves the right to change the location of a booth/space ordered by the Exhibitor only in emergency situations.
  15. The Organizer will make every effort to inform the Exhibitor in advance about any changes made.
  16. The Organizer reserves the right to place general information and infrastructure elements within the booth area.
  17. The Organizer reserves the right to film and photograph displays of goods and services presented at the EXPO and to use such materials for the Organizer’s advertising and marketing purposes.

7. Exclusions Applicable During EXPO TRI TOUR

  1. The EXPO strictly prohibits the sale and promotion of products and services that are legally banned. Failure to comply with this requirement will result in the Exhibitor’s removal from the exhibition grounds without a refund of incurred costs.
  2. The EXPO prohibits the promotion of events and the sale of event packages that compete with those of the Ciech Tri Tour series.
  3. The Organizer reserves the right to deny permission for the promotion or sale of Exhibitor products that are deemed competitive to products or services advertised or sold by sponsors or partners of individual events within the Tri Tour series.
  4. Failure to comply with the provisions outlined in points 1-3 will result in the Exhibitor being removed from the EXPO without a refund of incurred costs.

8. Additional Provisions

  1. Exhibitors are not allowed to use the TRI TOUR series logos – this right is reserved exclusively for event partners and sponsors.
  2. The registration form and the EXPO space rental agreement form an integral part of these Regulations.
  3. The final interpretation of the Expo regulations within the TRI TOUR series belongs to the Organizer.
  4. The Organizer reserves the right to introduce changes to the Regulations, which will be communicated to Exhibitors via email.
