  1. General Provisions
    1. The regulations apply to all exhibitors (hereinafter referred to as “exhibitors”) during the JBL Triathlon Sieraków event held at Expo premises.
    2. The lessor of the EXPO area is the organizer/co-organizer/partner of the JBL Triathlon Sieraków event, the company: KLUB SPORTOWY TRI TOUR – Association with its registered office at ul. Smardzewska 21/4, 60-161 Poznań, NIP 9721247020, REGON 302592538.
    3. The provisions of this Regulation are an integral part of the EXPO Area Lease Agreement during the JBL Triathlon Sieraków event.
  2. Applications
    1. Applications for renting Expo area during the JBL Triathlon Sieraków event are made by submitting a registration form available on the respective event websites at the email address expo@tritour.com.pl.
    2. Exhibitors who apply for participation in Expo will be offered a promotional offer. The Organizer reserves the right to close registration early in case of the exhibition area being fully booked.
    3. The Organizer will send a confirmation of order acceptance or rejection of the possibility to rent the Expo area electronically to the email address provided by the applicant within 14 days of the application date. In case of order acceptance, the Organizer will send the Exhibitor an EXPO Area Lease Agreement, which is an attachment to this Regulation, for signing.
    4. Submitting the registration form and signing the EXPO Area Lease Agreement, which is an attachment to this Regulation, is equivalent to familiarization with and acceptance of this Regulation.
    5. Reservation of a space occurs after signing and sending back to the Organizer the signed EXPO Area Lease Agreement and after making the payment for the selected area based on the issued pro forma invoice. Failure to pay the invoice within the specified deadline results in the annulment of the concluded agreement, and the space is put up for sale again.
    6. In case of withdrawal from participation, the exhibitor is obliged to send a written resignation to the organizers at expo@tritour.com.pl. Depending on the timing of the resignation, the Organizer is entitled to a contractual penalty in the following amounts:
      1. 60 days before the start of the event – 30% of the signed agreement value;
      2. Less than 21 days before the start of the event – 100% of the signed agreement value.
    7. The Organizer may refuse participation to the applicant without providing reasons. The rejection will be sent within 14 days to the Exhibitor’s email address specified in the registration form.
  3. EXPO Date and Location
    1. EXPO takes place during the JBL Triathlon Sieraków event on the following dates:
      1. Sieraków Event Expo will take place from May 24th to May 26th
    2. Date, location, Expo zone opening hours, and rules applicable in the zone.
    3. Sieraków, May 24, 25, 26, 2024. TKKF Stadium, ul. Poznańska 27, 64-410 Sieraków

    4. Booth Setup Hours

  4. Area Rental Terms

    2. The price list for all services is available on the website www.tritour.pl – EXPO tab and specified in point 4. The price includes the cost of a 230V electrical connection (one socket per Exhibitor). VAT will be added to the prices specified in para. 1 in accordance with the applicable regulations.
    3. Exhibitors from the catering industry are subject to additional charges for power connections and waste removal.
    4. The booth is reserved upon receipt of the EXPO Area Lease Agreement signed by the Exhibitor along with proof of payment.
    5. Reserved booths will be marked on the Expo event plans in real-time.
    6. Exhibitors are required to set up their booths on the day and at the time specified by the Organizer for each event as per the agreement, and also leave the Expo on the day and at the time specified in the agreement. Set-up hours will be strictly adhered to, and the Organizer has the right to refuse booth setup in case of exhibitor delay.
    7. Exhibitors are obligated to maintain order at their booths during the expo and, after its conclusion, clean up the booth and remove trash to a location designated by the Organizer. In case of leaving trash and damages at the Exhibitor’s location, the Organizer has the right to charge the Exhibitor for cleaning or repairs based on a separate invoice.
    8. The Expo area is specified on the expo plan. All measurements are in meters. Exhibitors are obliged to adhere to the dimensions of their space and not exceed its boundaries. In case of non-compliance, the Organizer has the right to remove objects located outside the designated booth area or demand payment for additional space at a rate of 300 PLN/net/m2.
    9. Exhibitors have the right to promote their booths only within its boundaries. Any advertisements extending beyond the designated area or placed elsewhere within the Expo area or at the entrance will be removed, and the Organizer will have the right to charge for the additional space used.
    10. Exhibitors are not allowed to sublet the rented exhibition space to other entities without prior written consent from the Organizer.
    11. Exhibitors are not allowed to perform actions that result in permanent changes to the rented space (drilling, gluing, fastening in a way that leaves traces). Exhibitors will be charged for any repairs incurred by the Organizer.
    12. In the event that the exhibitor does not return the signed EXPO Area Lease Agreement and does not make the payment for the Expo booth within 7 days of receiving the EXPO Area Lease Agreement and the invoice sent to the Exhibitor’s email address, they will be removed from the list of Expo participants, and the reserved space will be put up for sale again.
    13. EXPO Area rental fees are made by bank transfer to the Organizer’s bank account specified on the invoice.
    14. The Organizer reserves the right to change the booth location/space ordered by the Exhibitor only in emergency cases.
    15. The Organizer will make every effort to inform the Exhibitor in advance about any changes made.
    16. The Organizer reserves the right to place general information and infrastructure elements within the booth area.
    17. The Organizer reserves the right to film and photograph the exhibition of goods and services exhibited at the EXPO premises and to use these materials for promotional and marketing purposes of the Organizer.
  5. PROTECTION AND LIABILITY
    1. The Exhibitor bears all costs of any damage caused by them or by any person associated with them in any way.
    2. The Exhibitor is fully responsible for their booth and all items located on it and in its immediate vicinity.
    3. The Organizer may instruct the Exhibitor to remove dangerous objects from the booth or its surroundings.
    4. The Organizer is not liable for items left at the booth or for any damage to the property of Exhibitors caused by third parties.
    5. The Organizer provides external supervision of the EXPO areas during EXPO closing hours.
    6. The Organizer does not provide individual booth protection during the EXPO or during its closing hours and, therefore, is not responsible for items left at the booths.
    7. The Organizer is not responsible for damage caused by force majeure.
    8. The Organizer reserves the right to cancel, partially close, or temporarily shorten the duration of the EXPO due to reasons beyond the Organizer’s control. In such a case, there will be no refund or reduction of the previously paid fee.
  6. EXCLUSIONS APPLICABLE DURING EXPO
    1. There is an absolute ban on the sale and promotion of products and services whose use is legally prohibited at EXPO. In case of non-compliance with the requirements, the Organizer reserves the right to remove the Exhibitor from the fairgrounds without a refund of costs incurred.
    2. There is a ban on the promotion of events and the sale of event packages that are competitive to the JBL Triathlon Sieraków event at EXPO.
    3. The Organizer reserves the right to withhold consent for the promotion or sale of Exhibitor’s products that prove to be competitive with the products or services advertised or sold by the sponsors or partners of individual events within the JBL Triathlon Sieraków. Non-compliance with the provisions of points 1-3 will result in the removal of the booth from EXPO without a refund of costs incurred.
  7. Additional Provisions
    1. Exhibitors are not authorized to use the JBL Triathlon Sieraków logos; this service is reserved only for event partners and sponsors.
    2. The registration form and the EXPO Area Lease Agreement form an integral part of this Regulation.
    3. The final interpretation of the Expo Regulation JBL Triathlon Sieraków belongs to the Organizer.
    4. The Organizer reserves the right to make changes to the Regulation, which will be communicated to the Exhibitors by email.

6. GENERAL PROVISIONS

  1. All provisions contained in the EXPO Regulations are an integral part of this form.
  2. Signing this agreement by the Exhibitor implies acceptance of all provisions of the Regulations.
  3. In matters not regulated herein, the provisions of the Civil Code shall apply.
  4. Any changes to the agreements between the Exhibitor and the Organizer that deviate from the provisions of the Regulations or this form require a written form under pain of invalidity.
  5. This agreement is drawn up in two identical copies, one for each Party.
